There is nothing in the Agricultural Societies Act that says you canā€™t have a virtual, modified in-person (following AHS guidelines) or a combination AGM. You may want to double check your by-laws to ensure. Depending on what platform you use (Zoom Meeting, Webex, Conference Call), make sure you think through a few key things and make a plan to ensure ample communication and a smooth meeting. A video format like Zoom or Webex is likely the best option.

A few things to keep in mind:


ā€¢ Meeting participation:

Signed names are not required. You do need to submit a list of all
participants and whether they participated in-person or online.


ā€¢ Voting:

How you do this will depend on the type of platform you are using.
āž¢ Some programs have options where you can raise your hand to vote.
āž¢ You can get online participants to use the chat function to vote publicaly or privately.
āž¢ You can ask each participant to verbally vote.
ā€¢ Sharing of key information at your AGM: Most video platforms can allow all participants to see
all documents. You may need to distribute materials to participants via email.

There are no hard rules when it comes to virtual meetings, what is key is to think it all through ahead of time
